Had a vendor dispute that went through three escalation stages before resolving. The process taught me what actually works and what does not when you need a vendor to make something right.
What counts as a legitimate dispute
A dispute is legitimate when the vendor has clearly failed to deliver what was agreed: the card never arrived past the guarantee window, the card arrived but has a significant defect that affects functionality (barcode does not scan, wrong state template, wrong name), or the vendor confirmed a reship and the reship never arrived.
A dispute is not legitimate when your expectations differ from what the vendor reasonably delivered — slightly different hologram quality than you hoped for, a UV feature that looks somewhat different from a reference image, or delivery taking longer than expected but still within the guarantee window.
Stage 1: direct support request
One message with your order number, the specific problem, and the outcome you want (reship, refund, or correction). State the facts without emotional language. Keep it short. Most legitimate disputes resolve here within a week.
Stage 2: escalation to senior support or management channel
If no response after 10 days, try a different channel. Most vendors have a Telegram where more senior people can be reached. Reference your previous message, your order number, and the fact that you have not heard back. Keep the same tone.
Stage 3: public record
If two weeks of contact attempts produce no response on a legitimate dispute, posting a factual account of the situation in forum review threads creates accountability. Most vendors with active reputations respond quickly to negative review posts. State facts only — what you paid, what you received, what you asked for, what happened. Avoid accusations or emotional language, which undermines credibility.
Keeping the dispute communication professional also protects your ability to escalate further if the initial response is unsatisfactory. A documented chain of polite, factual messages positions you better for any forum-based reputation reporting if the vendor fails to resolve the issue. The public nature of vendor reputation in this market means that a well-documented dispute that goes unresolved is more damaging to the vendor than an aggressive message that gives them grounds to dismiss the complaint.
