Vendor sent wrong template - how they fixed it

posted by meatball 3 months ago 549 views 7 comments

Just wanted to share my experience with a recent order that went sideways at first but ended up being a solid example of how customer service should handle mistakes. I ordered a prop from a well-known vendor — specifically a driver's license template for a certain state. I'd done my research, picked the right template from their list, paid, and waited. Standard timeline: order placed on a Monday, received tracking by Wednesday, and the package landed in my mailbox the following Monday. So initial turnaround was about 7 days, which is pretty much what I expected for domestic shipping.

Opened the package and immediately saw the problem — the template was clearly for a different state. Different layout, different colors, different font placement. Not even close to what I ordered. I double-checked the order confirmation email to make sure I hadn't messed up, and nope, I'd selected the correct state. So this was a straight-up picking error on their end. Frustrating, but it happens. The real test is how they handle it.

I reached out via their support ticket system the same day, attached clear photos of the wrong template next to my order confirmation showing the mismatch. I got a response within about 4 hours — not instant but reasonable for a mid-sized operation. They apologized, confirmed it was their mistake, and said they'd reship the correct template immediately. No pushback, no trying to blame me, no "are you sure you didn't mis-select?" Just "we messed up, we'll fix it." That kind of accountability goes a long way.

The replacement shipped the next day. I had tracking within 24 hours of submitting my claim. The second package arrived 8 days after I first reported the issue. So from initial order placement to finally having the correct prop in hand, total timeline was about 15 days — 7 days for the wrong one, 1 day to report, 8 days for the replacement. Not ideal, but acceptable given the fix speed.

Let's talk packaging stealth because that matters to most of us. The original package came in a plain brown cardboard envelope with no return address that indicated anything suspicious. Inside, the prop was sandwiched between two pieces of thick cardboard, wrapped in a plain white paper sleeve. No logos, no mention of ID-related anything. The replacement came in an identical setup — same plain envelope, same inside protection. Stealth was solid both times. No rattling, no visible outlines through the envelope. If someone glanced at it in the mail, they'd think it was a typical greeting card or document.

Communication wise, after that initial 4-hour response, they replied to every follow-up within 12 hours. I asked for a tracking update once and got a response in 2 hours. The tone was professional, not overly friendly but not robotic. They didn't offer any extras like a discount or freebie for the hassle, but honestly, just getting it fixed without a fight is more valuable to me than some cheap add-on.

Value for money rating — I'd give this a solid 7/10. The initial product (when correct) is good quality, price is inline with market rates for novelty props, and the resolution process was painless. The con is that the error happened at all, which suggests they need better QC or labeling. Potential for mixups is always a risk. Pros: fast reship, no-questions-asked customer service, good stealth, reasonable response times. If they could consistently get orders right the first time, they'd be a 9 or 10. As it stands, I'd personally order from them again, especially now that I know they stand behind their work. That kind of reliability in fixing mistakes is rare in this space, and it counts for a lot more than a vendor who tries to argue or ghosts you. Just my two cents.

For Anyone in the Same Boat

1. Document before you escalate. Photos, order details, calm tone.

2. Give them a window to respond. 48–72 hours minimum before going public.

3. Judge the fix, not the fuckup. Production errors happen. Evasion is the real scam.

4. Update your thread. If they fix it, say so. Community reputation cuts both ways.

Anyone else had a vendor own a mistake and actually make it right? Or one who burned you after promising a fix? Curious how common either outcome is lately.

Yeah, that turnaround time is solid. I've dealt with vendors who have zero customer service responsiveness, and it's refreshing to see one actually stand behind their mistake. Their order process is probably smooth if they owned up to it that fast too. If you already pulled the trigger on ordering from them again, sounds like a legit vendor. Honestly, stuff like this is how they earn return business in this game—gotta respect the honesty.

Nice to hear they made it right. That quick turnaround time on a reship is rare—most places have horrible customer service responsiveness once they see the order go out. I've had one vendor make me jump through hoops for weeks. When a vendor actually owns the mistake like that, they feel legit. Glad you got sorted out. That's the kind of thing that makes me trust an order process with them again.

Yeah, 8 days for a reship is pretty solid tbh. Most vendors would just drag their feet or give you the runaround. It's nice to see they actually owned the mistake and made it right quickly. That's the kind of service that keeps me coming back.

Yeah, that's exactly the kind of thing that keeps me coming back. Honestly, I'm glad they made it right without hassle—too many vendors would just ghost you or blame the customer, you know? A simple fix like that earns my trust way more than a perfect first try.

Did they let you keep the wrong one too? That's honestly the best case scenario—free accidental backup. I've had a vendor do that before, and it made the whole wait way less annoying, you know? How's the replacement compare to the original you wanted?

Yeah, this. Take photos right when you open it—that honestly saved me when a template was way off. It gives you actual proof if they try to blame you. Learned that one the hard way.
